Board Meeting Minutes Summary

Building Signage

Current Sign Issues

- Current sign location on external part of building would be too high for senior members to see comfortably - Pillar blocks visibility of glass frontage at door - Members generally don't look up that high

Proposed Solution

- Request marquee-style sign (like movie theater poster frame) at lower level - Benefits: protected from weather, allows non-weatherproof materials, easy to update - Would slide posters/information in and out as needed

Result

- Board agreed to further look into and peruse this signage option


Old Landlord Issues (CMP)

- $2,000 deposit still owed to organization - Original sign still held by previous landlord - Previous landlord has not responded to outreach - Keys to old space still held (only leverage currently) - Expect some deduction for an 8 inch hole (but they cut it originally)

Proposed Solution

- Board members (Not President) will try to get in contact - Send certified letter if all else fails


HVAC Maintenance

- Need to start quarterly PM (preventative maintenance) - ~$90-95/hour typical rate - Preference: Use third-party independent contractor (not landlord-associated)


University Partnership (UTV/UTA)

- Teams progressing: Silica Sabers (dehydrator project), Dust Bunnies (bandsaw project) - Recommendation: Reduce to ONE team going forward - Current commitment level too high for volunteer availability - Primary value is maintaining relationship/optics with university - Infrastructure tracking tool would be valuable deliverable


Reimbursements & Credits

- Bob provided acrylic materials for organization use - Approved: Membership credit to compensate for material costs - Credit will be applied as a coupon valid for matching duration


Equipment

Laser Cutter Discussion

- Used OmTech Maker 4063 (40“ x 63”, 150W CO2) available for $3,500 - Decision: NOT pursuing at this time - Space premium concern; current equipment adequate - May revisit in future if membership grows - Keep Glowforge (user-friendly for beginners); possibly sell Trogdor later

Tables & Workbenches

- Need new table for laser area (~34“ x 40”) - Plan: Build custom table using available 3/4“ plywood + metal legs - Board member has round metal legs available to donate - Wire rack shelf needs removal from laser room

3D Printer Fleet (Future - End of May)

- Proposed setup: 2x X1 Carbon, 2x H2S, 2x A1 - Rename printers (stop using “left/right” naming) - Suggested: Use atomic sprites names from Conway's Game of Life

Implementation Notes

- Applies to NEW members immediately - Existing legacy rates ($10-15) - do NOT proactively raise yet - Members who haven't badged in by May 1 - badges disabled (security policy) - If inactive members return, they rejoin at new rates - Narrative: Rate increase follows move-in and facility becoming fully operational

Discount Categories

- Simplify to single discount rate ($25) - Retiree discount - keep (contribute time/knowledge) - Student discount - keep (university optics) - Family discount - merge into standard discount rate


Space Organization

Trash Cans

- Reduce number of trash cans (too many = more cleanup) - Keep: Kitchen, Workshop, Stitch Lab (designated for fabric only) - Stitch Lab bin: Must look like trash can + clear “FABRIC WASTE ONLY” signage - Move main bin from front door to kitchen area - Add sign at back door pointing to dumpster location

Lobby/Design Station

- Clear out sale items and sewing materials - Live with cleared space for a few weeks before rearranging - Cable management for computer stations - Consider wall-mounting IT equipment

Room Standardization

- Create signage showing “room reset” state - Paper signs (easier to update) vs vinyl


Utilities

- Gas bill needs name change from personal to organization name - Atmos Energy - follow up on account name correction


Action Items

1. Get quote for marquee sign from vendor 2. Follow up on old landlord deposit/sign 3. Update membership pricing in system (new members: $50 full / $25 discount) 4. Disable badges for members inactive since before May 1 5. Clear hallway boxes before event tomorrow 6. Build new table for laser area 7. Reduce trash cans; add proper signage to remaining bins 8. Schedule quarterly HVAC maintenance

- Reconvene in possibly 2 weeks before meeting on 23nd Friday in April
